How to Manage Asset Versions
Overview
The Version feature allows users to upload updated files to an existing asset while preserving a complete history of previous versions. This enables teams to keep assets up to date, track changes, and, if necessary, revert to earlier versions. Older versions remain associated with the asset but are not searchable or shareable.
The Version component is always available in the Asset Details view, but access to it depends on user permissions and profile settings.
Uploading a New Version
- Open the asset in Asset Details.
- Scroll to the Versions section.
- If you have permission, click Upload New Version.
- Select and upload the updated file.
- The uploaded file will become the primary file automatically.
Note: The primary file is the version shown in:
- Thumbnails
- Public Links
- Portals
- Dwellings
- Showcases
- Search results and previews
Working with Older Versions
In the Versions section, you will see a list of previously uploaded versions with these available actions:
- Details – View technical file information.
- Download – Download the specific version.
- Delete – Remove the version from history.
- Mark as Main Version – Revert this file to be the active primary version.
Limitations
- Older versions are not searchable.
- They cannot be shared through Portals, Public Links, or Dwellings.
- They are preserved for reference and auditing only.
Use Cases
- Updating assets regularly: Keep files current while retaining a version history.
- Reverting to a previous version: Fix mistakes or roll back updates with confidence.
