How to Edit Asset Metadata
This guide explains how to edit metadata for assets in the Library. Metadata includes tags, descriptions, titles, copyrights, and other properties that help organize and identify your files. Note: Editing metadata updates the asset's information, not the file itself. To change the actual file content, you need to upload a new version.
Understanding Tags vs. Metadata
Many users refer to adding information to assets as "tagging." In Data Dwell, Tags is a specific metadata field type used for adding keywords and labels. However, the platform supports many other types of metadata beyond just Tags-including custom metafields like categories, descriptions, dates, and more.
When you edit an asset, you are editing its metadata (all the descriptive information), which may include the Tags field along with other fields defined by the asset's metadata profile.
Before You Start
- You must have permission to edit assets.
- The available fields for editing are controlled by the metadata profile assigned to the asset.
- Some metadata fields may be locked or restricted based on platform configuration.
- Any edits you make will be reflected for all users who have access to the asset.
Option 1: Edit from Asset Actions Menu
- Locate the asset in a folder, metadata view, dwelling, or search results.
- Click the three-dot menu (⋯) next to the asset.
- Select Edit.
- Update the metadata fields as needed.
- Click Save to apply your changes.
Option 2: Batch Edit Multiple Assets
- Select multiple assets using the checkboxes.
- A banner will appear at the bottom of the screen.
- Click Edit in the banner.
- Make your changes to the metadata fields.
- Use the checkboxes to select which metadata fields to apply across all selected assets.
- Click Save to apply changes to all selected assets.
Option 3: Edit from Asset Details
- Open the asset to view its detail page.
- Click the Edit button.
- Edit any available metadata fields directly in the interface.
- Click Save to apply your changes.
Tips
- Batch editing is ideal for applying shared metadata to multiple assets efficiently.
- The metadata profile determines which fields you can view and edit, as well as which components are shown in the asset details view.
- If a field is not visible or editable, it may be restricted by the platform configuration or your role.
- Metadata can be edited at any time after upload if changes are needed.
