How to Create a Smart Folder
Smart Folders automatically display assets that match specific filter criteria. This guide walks you through creating a Smart Folder from the filter panel in the Library.
Before You Begin
To create a Smart Folder, you need to be in the Library view with the filter panel visible. If you have collapsed the filter panel, expand it by clicking the filter icon.
Creating a Smart Folder
- Navigate to the Library.
- In the filter panel, set the filter criteria you want your Smart Folder to use. You can use quick filters, metadata filters, or advanced filter expressions.
- Once your filters are applied, click Save as smart folder.
- Enter a name for your Smart Folder.
- Select a parent folder. By default, the Smart Folder is placed in the Library root, but you can choose any folder as the parent location.
- Click Save. The Smart Folder is created and opens automatically.
Your Smart Folder now displays all assets matching your filter criteria. As assets are added or updated in the Library, they will automatically appear in or disappear from the Smart Folder based on whether they match the criteria.
Editing a Smart Folder
To modify the filter criteria of an existing Smart Folder:
- Open the Smart Folder you want to edit.
- Click the Edit Filter button at the top of the view. This button appears in place of the usual "Add assets" button, indicating that direct uploads are not possible in Smart Folders.
- Adjust the filter criteria as needed.
- Save your changes.
Tips
- Test your filters first: Before saving, review the filtered results to confirm they match what you expect to see in your Smart Folder.
- Use descriptive names: Choose a folder name that clearly indicates what criteria the Smart Folder uses, making it easier for other users to understand its purpose.
- Consider folder placement: Place Smart Folders where they make sense in your folder hierarchy. You can nest them within standard folders or other Smart Folders.
