How to Set Up Icons

Icons are small markers on asset thumbnails that show something important at a glance, for example that an asset is restricted, approved or part of a campaign. You decide what an icon looks like and which assets get it: assets in a folder, assets with a metadata value, or assets at a visibility level.

How Icons Work

  • Style: an icon is either a symbol (Icon) or a coloured text label (Text chip). On small thumbnails, a text chip shrinks to a coloured dot, and the text is shown when you hover over it.
  • Where it appears: an asset shows the icon when it matches one of the targets you set: its Folder, a Metafield value, or its Visibility Level.
  • Position: you choose the corner or edge of the thumbnail where the icon sits.

Steps to Create an Icon

  1. Go to App Setup > Icon Settings and click New.
  2. Under Style, choose Icon or Text chip.
    • For Icon: choose the symbol under Icon and use the slider to set its size.
    • For Text chip: enter the Text to show, for example RESTRICTED.
  3. Enter a Name, so you can find the icon in the list.
  4. Choose a Color and a Position, for example Top Left.
  5. Choose where the icon appears: a Folder, a Metafield value, a Visibility Level, or more than one.
  6. Check the preview on the left, which shows the icon at three thumbnail sizes, then click Save.

To change or remove an icon later, use Edit or Delete in the three-dot menu (⋯) in the list.

Tips

  • Use text chips for words people need to read, such as RESTRICTED or DRAFT, and symbols for well-known meanings.
  • Use a visibility level as the target to mark restricted assets automatically. See About Visibility Levels.
  • Keep the number of icons small. Too many markers on a thumbnail stop being noticed.
