How to Manage Access Requests
People without an account can ask for access to your workspace from its login screen. You review each request, then invite the person or reject the request.
How People Request Access
On the login screen, below Sign in, people see "Need access to [your workspace]? Request it". This opens a short form. They fill it in and click Send request, and are told that an administrator will be in touch by email.
Setting Up the Request Form
- Go to App Setup > Site Settings > Login settings.
- Under Access request form, write the Message shown above the form.
- For each question, tick Ask for it to show it on the form, and Required if it must be filled in. You can change each question's label. First name, Last name and Email are always asked.
- In Email new requests to, enter who should be told about new requests.
- Click Save.
Reviewing Requests
Go to Manage > Users > Access requests. Each request shows the requester's name and email, its status and when it was made. Approved and rejected requests stay in the list with their status, so you keep a record of every request.
Approving a Request
- Click ⋯ on the request and choose Approve.
- Check what was submitted with the request, shown at the top.
- Complete the invite. The email address is already filled in. Choose the Workspace role and Assign to account, optionally record who asked for the user in Requested by, and choose their user groups.
- Click Approve and invite. The person gets the normal invitation email.
Rejecting a Request
- Click ⋯ on the request and choose Reject.
- Optionally, add a Reason.
- Click Reject. Nothing is sent to the person, and they can ask again.
Tips
- Turn on Requested by and Purpose of access in the form. This makes it easier to decide, and the answer can go straight into the invite.
