How to Set Up Review Chains
A review chain decides who reviews which assets before they become available. You choose which assets a chain applies to, based on folder or metadata, and who has to approve them, in one or more steps. Reviewers then find the assets in Asset Lifecycle > Review queue.
How Review Chains Work
- Routing: folder and metadata rules decide which assets use the chain.
- Priority: when an asset matches more than one chain, the chain with the lowest priority number is used.
- Steps: each step needs approval before the asset moves on. Once every step has approved it, the asset becomes Active.
- Catch All: a built-in chain for assets that no other chain applies to. It has priority 100, so your own chains with a lower number are used first.
Steps to Create a Review Chain
- Go to App Setup > Review chains and click New chain.
- Under Basic information, enter a Review chain name, an optional description and a Priority.
- Choose which assets the chain applies to:
- Folder routing rules: click Add folder rule and choose a folder. Turn on Propagate to include its subfolders.
- Metadata routing rules: click Add metafield rule and choose a metafield and value.
- Under Review steps, set up the first step:
- Type:Sequential (single approval advances) moves the asset on after one approval. Parallel (require N approvals) needs the number of approvals you set in Required approvals, from the step's reviewers or groups.
- Reviewers: add users with Add user and user groups with Add user group.
- To add another step, click Add step. Use the arrows to change the order, or the bin icon to delete a step.
- Click Create chain.
To change a chain later, click it in the list, make your changes and click Save.
Tips
- Keep chains short. Every extra step adds time before assets can be used.
- Use user groups as reviewers rather than individual users, so a chain keeps working when people change roles.
- Leave gaps between priority numbers (10, 20, 30), so a new chain can be fitted in between later.
