How to Review Assets
When assets need approval before they can be used, they wait in the review queue. As a reviewer, you approve them, approve them with an embargo until a release date, reject them or archive them. Until an asset is approved, it isn't available for general use.
Before You Start
- Review chains decide which assets you review. They are set up by admins. See How to Set Up Review Chains.
Steps to Review an Asset
- Go to Asset Lifecycle > Review queue. Use Filter review queue on the right to narrow the list, for example by uploader, asset type or minimum age in days.
- Click the arrow on an asset's row to see its preview and metadata. If something needs fixing first, use Edit or Move.
- Choose an action, from the buttons in the row or from the three-dot menu (⋯):
- Approve: the asset moves on to the next review step, if there is one. Once every step has approved it, the asset becomes Active.
- Approve w. Embargo: the asset is approved but held back until a release date. See below.
- Reject: the asset is not approved. You can add a reason, but you don't have to.
- Archive: the asset goes straight to Archive, out of circulation.
Approving with an Embargo
- Choose Approve w. Embargo.
- In Place asset under embargo, set the Release date and time.
- Optionally, add the asset to a new or existing Embargo group. If the release date of a group changes, it changes for every asset in the group.
- Click Place under embargo. The asset is released automatically at the date and time you set.
Reviewing Several Assets at Once
- Select the assets using their checkboxes. The batch action menu appears at the bottom of the screen.
- Click Approve or Approve w. Embargo. With an embargo, all selected assets get the same release date and time.
Tips
- Give a reason when you reject an asset, so the uploader knows what to fix.
- Use embargo groups for launches. If the date changes, the whole group moves together.
- Upcoming releases are listed under Asset Lifecycle > Embargo.
