How to Add Assets to More Folders

An asset can live in more than one folder at the same time. Adding it to another folder doesn't create a copy: it is the same asset, with the same file, metadata and history, shown in every folder it belongs to. This is useful when an asset belongs to more than one campaign, product or team, and you want people to find it in each place without keeping duplicates up to date.

Requires permissionYou need permission to edit the asset, and permission to add assets to the folder you are adding it to. Both come from your user group. Don't see Add to folder? Ask your workspace admin.

Before You Start

  • The asset must already be uploaded. Uploads always go into one folder, and you add the asset to other folders afterwards. See How to Upload Assets.
  • The folder you want to add it to must already exist. See How to Create Folders.

Steps to Add Assets to More Folders

Option 1: One asset

  1. In the Library, go to the asset. This works in grid, list and map view.
  2. Click the three-dot menu (⋯) on the asset.
  3. Select Add to folder.
  4. Choose the folder you want to add the asset to.
  5. Click Add to folder. The asset now appears in the new folder and stays in its current one.

Option 2: Several assets at once

  1. Select the assets using their checkboxes. The batch action menu appears at the bottom of the screen.
  2. Click ⋯ in the batch action menu and select Add to folder.
  3. Choose the folder you want to add the assets to.
  4. Click Add to folder. The selected assets now appear in the new folder and stay in their current ones.

What Changes When an Asset Is in Several Folders

  • Access: anyone who can see any of the asset's folders can see the asset. Permissions are checked across all its folders, and if one of them grants a permission, the user has it. Visibility levels still apply as usual.
  • Edits: because it is one asset, changes to its metadata or file show in every folder it belongs to.
  • Moving: you are asked which folder to move the asset from and which folder to move it to. See How to Move an Asset.
  • Deleting: you are told the asset is in more than one folder, and can delete it from all of them or only remove it from the folders you choose. See How to Delete an Asset.

Tips

  • Check who has access to a folder before adding assets to it. The assets become visible to everyone who can see that folder.
  • Add an asset to another folder instead of uploading it again. Duplicates get out of step when one copy is updated and the other isn't.
  • If the asset should only be in the new folder, use Move instead.
