How to Filter Assets

Filters help you quickly narrow down asset results. They are available in the Library, Metadata view, and Search results. Whether you're searching by metadata, tags, profile, or file type, filters make it easier to find exactly what you need.

There are two main types of filters:

  • Saved Filters - Predefined filter sets available in Library > Filters
  • Quick Filters - Temporary, user-defined filters accessed from the filter drawer

Saved Filters

Saved Filters are reusable filter configurations that can be applied with a single click. These filters are especially useful for recurring searches (e.g., product launches, brand folders, or campaign-specific assets).

Creating a Saved Filter

  1. Go to Library > Filters.
  2. Click [+ New Filter].
  3. The filter drawer will open. Set the criteria using quick or advanced filters.
  4. Click Save and enter a name for your new filter.

Save as Filter vs Save as Smart Folder

When saving your filter criteria, you have two options:

  • Save as filter: Creates a reusable filter configuration that you can quickly apply when browsing. The filter appears in your filter panel and in Library > Filters.
  • Save as Smart Folder: Creates a dynamic folder in your library that automatically displays all assets matching the filter criteria. Smart Folders appear in your folder structure alongside standard folders.

Choose "Save as filter" when you want to quickly repeat a search without adding to your folder hierarchy. Choose "Save as Smart Folder" when you want a dedicated folder view for assets matching specific criteria.

Editing and Deleting Saved Filters

If you have permission, you can edit or delete saved filters:

  • Edit - Update the filter's criteria and re-save it with the same name.
  • Delete - Permanently remove the filter from the platform.

Note: Deleting a saved filter removes it for all users who had access to it.

Sharing Saved Filters

Administrators can create saved filters and make them available to other users. Shared filters appear in the filter panel for all users with access.

Quick Filters

Quick Filters are accessible while browsing the Library, Metadata view, or Search results. These are temporary filters and are not saved unless explicitly turned into a Saved Filter.

To Use Quick Filters

  1. Click the Filter button in the top right of the view.
  2. The filter drawer will open on the right.
  3. Select any combination of the available criteria.

Available Filter Criteria

  • Profiles
  • Metadata (dropdown, multi-dropdown, checkboxes, autocomplete, tags)
  • Tags
  • File Extensions
  • Copyrights
  • Created Date
  • Created By
  • Last Modified Date

When you select several tags, the results include assets with any of the selected tags.

Finding Values

When a metadata field has many possible values, the filter shows a shortlist of the most-used ones. To reach a value that isn't in that shortlist, use the search box inside the field's filter to look it up directly: you are no longer limited to what appears by default.

Advanced Filters

The filter drawer also includes an Advanced Filters section for more complex filtering needs. You can define specific conditions and use logical operators to combine them.

  • Profile
  • Metadata
  • Metadata or Values
  • Folder
  • Folder or Subfolders
  • Extension
  • Created Date
  • Created By
  • Last Updated Date
  • Tag
  • Preview
  • Copyright

Logic Operators

You can combine conditions using:

  • AND - All conditions must match
  • OR - Any matching condition will include the result
  • Custom Logic - Define logic between multiple conditions (e.g., 1 AND (2 OR 3))

Clearing Filters

To remove all applied filters and return to the full asset view, click Clear All in the filter drawer.

Tips

  • Use Saved Filters for recurring team needs (e.g., department-specific assets).
  • Quick Filters are great for ad-hoc browsing and exploration.
  • If a Saved Filter disappears, it may have been deleted by someone with access.
