About Asset Searching

The platform includes a unified search experience that helps you quickly locate assets and other records. As you begin typing in the top search bar, the system shows immediate results. Once you confirm or press Enter, you're taken to the full search results page where filtering and extended functionality become available.

Search from the Top Bar

The search bar located at the top of the platform is always accessible and initiates an asset-focused search. As you type, matching assets are suggested in real time. These suggestions display:

  • Asset name
  • The specific metadata field where a match was found
  • A thumbnail preview
  • The folder location of the asset

The initial search covers the following content types:

  • Asset name
  • All assigned metadata
  • Tags
  • Content within document files (e.g., PDFs, Word docs)
  • Asset ID (search for the number to find the asset)

Search Results Page

After pressing Enter or clicking "View All Results," the system opens the Search Results page. This view offers more control and deeper filtering options.

Search Bar

On the Search Results page, a new search bar appears, allowing you to:

  • Search within Assets only (default)
  • Search across All - includes assets and other records like Accounts, Contacts, and Sales Rooms

Filters

In the search results view, you can refine your results using the Asset Filter drawer on the right-hand side. This allows you to apply quick filters without leaving the page.

Available filters include profiles, metadata, tags, file extensions, and creation or modification dates. These help you narrow down large sets of results to find exactly what you're looking for.

Adjusting Precision

Precision controls how closely an asset must match your search to appear in the results. It is available on the Search Results page behind the Precision button, and defaults to 40%.

  • Higher precision shows only closely matching assets, giving a shorter, more relevant list.
  • Lower precision widens the results to include looser matches, useful when you are not finding what you expect.

If a search returns too much, raise the precision; if it returns too little, lower it. You can hide the control again once you have set it.

Sorting Results

In the search results view, you can sort assets to find what you need faster. The sort controls are located at the top of the asset list.

Sort Options

  • Assets (Name): Sort alphabetically by asset name
  • Extension: Sort by file extension (e.g., .jpg, .pdf, .mp4)
  • Type: Sort by asset type
  • Created: Sort by creation date
  • Modified: Sort by last modified date

Sort Direction

Use the Direction control to switch between ascending (A-Z, oldest first) and descending (Z-A, newest first) order.

Search Result Layout (All View)

When using the "All" setting, results are grouped by record type (e.g., Assets, Accounts, Contacts) and display key information such as:

  • Record name
  • Thumbnail (if available)
  • Creation and modification dates
  • Record type label

Tips

  • Pressing Enter from the top search bar brings you to the full Search Results page.
  • If results feel too broad or too narrow, adjust the Precision control before reaching for filters.
  • Use filters to refine your search when working with large result sets.
  • The "All" view is ideal when you're searching across different record types, not just assets.
