How to Upload Subassets

This guide explains how to upload subassets to an existing asset. Subassets are related or supporting files linked to a main asset, such as project files, source files, alternate formats, or supplementary materials.

What Are Subassets?

Subassets are secondary files attached to a primary asset. They provide additional context or related content without creating separate, standalone asset records. Common examples include:

  • Source files
  • Alternate formats or versions
  • Supporting documents or specifications
  • Project files or raw materials

Subassets inherit visibility and access behaviour from their parent asset, keeping related files organised and connected.

Before You Start

  • You must have upload permissions based on your user group and assigned permission sets.
  • Subassets can only be uploaded from the Asset Details view of an existing asset.
  • Subasset availability and visibility is controlled by the asset's Profile configuration. If the subasset component is not enabled in the profile, users may not see or access the subasset area.

How to Upload Subassets

  1. Open the asset that should receive the subassets in Asset Details view.
  2. Find the Subassets component.
  3. Add the files in one of two ways:
    • Option 1: drag and drop one or more files onto the Subassets component.
    • Option 2: click Upload and select one or more files from your computer.
  4. The upload form opens with the main asset's metadata already filled in. Review it and change anything that is different for the subassets.
  5. Click Upload to finish.

The files appear in the subassets table, linked to the main asset. They are placed in the same folder as the main asset. The table shows each file's extension and size.

Tips

  • Use subassets to maintain a connection between finished assets and their source files.
  • Subassets help reduce duplication by keeping supporting files attached to the main asset rather than creating separate records.
  • The upload form is prefilled with the main asset's metadata, so you only need to change what differs.
