Data Dwell DAM is a cloud-based digital asset management system designed for organizations that need to store, organize, and distribute marketing and brand assets efficiently. The platform addresses common challenges in managing digital content: scattered files across multiple locations, time lost searching for the right assets, difficulty controlling access and usage rights, and lack of visibility into how content is being shared and used.
Built for speed and ease of use, Data Dwell enables fast uploads, quick search results, and streamlined workflows that improve collaboration across teams and with external partners.
Data Dwell serves marketing teams, creative departments, brand managers, sales teams, and organizations that need to share visual content and marketing materials with external partners, clients, or stakeholders. The platform supports both internal collaboration and external distribution workflows, including digital sales room capabilities.
Data Dwell is built around four core functions:
Organizations using Data Dwell can:
There is no restriction on the file types customers can upload into the Data Dwell cloud. The formats that are supported are for thumbnails and previews.
The system supports more than 400 file formats, versions of file formats, and codecs.

Data Dwell DAM is accessed through a web interface via one of the following browsers:
Though it may be accessed through other browsers, users may experience limited functionality. Data Dwell DAM does not support obsolete versions of browsers that have been discontinued by their developer or are non-supported by their issuer.
Data Dwell DAM functions as a Progressive Web App (PWA), allowing users to install it directly on their desktop or mobile devices for quicker access and improved performance. Users can launch the application from their home screen and access key features even when offline.
The platform uses a role-based permission system that allows administrators to control what each user can see and do. User access is managed through a combination of roles and user groups:
Administrators can create, edit, and delete users and user groups, and assign granular permissions for actions such as viewing, uploading, downloading, editing metadata, deleting, sharing, reprocessing, and versioning.
To create a user in the platform, the user must be linked to a Contact Record, and that contact must be associated with an Account. This ensures all platform users are connected to the organizational structure.
Permissions through roles can be configured to allow non-admin users to perform administrative tasks. For example, a user with a Marketing Manager role might have permission to create users but not delete them. Similarly, any user in the platform can be assigned as the owner of records (such as Accounts, Contacts, Portals, or Assets) to manage specific elements or have access to particular actions without requiring full administrative privileges.
The platform uses Account and Contact Records to manage relationships with external organizations and individuals. These records are essential for both relationship tracking and user access management:
Accounts represent businesses or organizations that your company has a relationship with. Each account can include:
Contacts represent individual people associated with accounts. Contacts serve a dual purpose in the platform:
The relationship between Accounts, Contacts, and Users is hierarchical: Accounts contain Contacts, and Contacts are linked to Users. This structure ensures that all platform access is tied to organizational relationships, supporting both external collaboration through Portals and internal user management.
The Library is the central hub for organizing, accessing, and managing digital assets. Key capabilities include:
The platform provides search and filtering tools to help users quickly locate assets:
Metadata provides context for assets, supporting searchability, compliance, and categorization. The platform supports:
The platform allows administrators to create and manage copyright information for digital assets. Copyright records can be assigned to assets with detailed usage rights and time-based controls:
Dwellings allow users to create structured groupings of assets for collaboration, curation, or publishing. Assets can be bundled independently of their folder location, with options to make Dwellings public or private.
Portals are configurable containers for sharing and distributing digital assets with external recipients. They provide controlled, trackable, and branded content delivery for collaboration, outreach, or client engagement:
Showcases allow users to create public or private galleries of digital assets. They function as presentation tools for sharing curated collections for product visuals, historical archives, marketing campaigns, or stakeholder engagement:
Administrators can customize the platform's appearance and access requirements to align with organizational branding and policies:
The platform provides reporting tools to monitor system activity, track asset processing, and identify duplicate content:
Access to reports is controlled through the permission system, allowing different user groups to view relevant reporting data based on their roles.
The platform provides API access and enterprise authentication options for integration with existing systems and workflows:
API Access
Data Dwell provides a REST API that enables custom integrations and automation. The API allows developers to programmatically interact with the platform for tasks such as asset management, metadata updates, user provisioning, and content distribution. API documentation is available through technical documentation.
Single Sign-On (SSO)
The platform supports Single Sign-On for enterprise authentication, with out-of-the-box support for Microsoft Entra ID (formerly Azure AD). Additional SSO protocols and identity providers are supported, including OAuth, ADFS, and other enterprise authentication systems.
All customer data is backed up based on the type of data. There are two types of customer data: Files and Database.
Database: The customer database has a daily full backup which is stored for up to 90 days.
Files: Files are automatically mirrored to another AWS region when they are uploaded. The target region is based on the origin region of the customer:
The mirrored instance of the file is stored up to 120 days after the origin file has been deleted. In addition to the files being mirrored, both the origin S3 bucket and the backup S3 bucket have versions enabled with a lifecycle rule of 90 day purging, so that an extra backup of the file remains in the origin S3 bucket for 90 days after the file has been deleted.
Data Dwell maintains strict security protocols to protect customer data. All communication is encrypted via SSL, login attempts are monitored and blocked after repeated failures, and server access is restricted with two-factor authentication. Clients can request additional IP or country-based restrictions as needed.
