The client
Devyser specializes in genetic testing kits that help provide vital diagnoses for patients. With 29 products in a range of configurations, Devyser has around 150 SKUs. Each product and variation needs precise documentation and controlled distribution to support customers and meet industry standards.
As a medical diagnostics company in a heavily regulated industry, Devyser has to keep meticulous control over its documentation and make sure internal teams and distributors have the right materials at the right time.
The challenge: a growing documentation library with critical integration needs
For José Bertikian, Commercial Operations Manager at Devyser, the challenge was clear when he joined the company three years ago.
By the time I arrived, we had this massive dump of documents. Lots of essential info, but there was no real structure to any of it.
One of José's first tasks was to restructure Devyser's asset storage. The DAM had to handle three critical use cases:
- Product documentation for end users, including user manuals, certification and instrument configuration settings for 150 product variations
- Sales collateral such as presentations, brochures, flyers, webinars, case studies and white papers
- Partner and distributor support through the Devyser Academy, with training recordings and product and process training documents
On top of that, the system had to integrate with HubSpot to update the website automatically, make it easy to share public links with prospects, keep proper version control for regulatory compliance, and give sales managers and distributors seamless access.
Fortunately, their existing DAM - Data Dwell - could match all of these needs.
The solution: one centralized DAM for every integration and distribution need
Data Dwell matches our needs. It's simple to use, it's super easy.
With previous experience of large-scale, expensive DAM systems, José was well placed to audit Devyser's set-up. He quickly saw that Data Dwell delivered everything they needed at a great price point:
- A single repository for all product documentation with proper version tracking
- A direct API integration with HubSpot that connects all product documentation to Devyser's website
- Automatic website updates whenever a document changes in Data Dwell
- Easy retrieval and sharing of all customer and distributor content
- Public link sharing for prospects and distributors
The system was clear and user-friendly, without the complexity of other providers - and it came with extensive support from the Data Dwell team.
We thought I'd have to do all the work with the restructuring, but Data Dwell took care of it - they did all the migrating. They understood our needs.
José wanted the structure to match his requirements, and he got the personalisation he wanted without having to ask: "We wanted it to look a specific way, and we didn't have to pay extra for more personalization - it was all included."
The results: seamless connectivity that saves hours of manual effort
We have so much documentation, and we have the API plugin that integrates our document library directly with our website. Without Data Dwell - it would be crazy.
From clear version tracking to automatic content updates on the website, Data Dwell has saved the Devyser team hours of manual effort. "Without Data Dwell, we'd have to up the complexity of our processes or have workarounds that wouldn't be as effective," says José. Instead: "We just publish and store. It saves so much time."
And whenever José needs anything, Data Dwell is there.
I would definitely recommend them - they escalate internally, problems are solved very fast, and they go the extra mile to keep me happy. It's support you don't get from a big company.
José sums up three more reasons he recommends Data Dwell: "It's simple. It's easy to scale. And at a good price point."
