The client
PPDS, the exclusive global provider of Philips Professional Displays and complementary solutions, combines Philips' brand promise with TPV Technology's global manufacturing expertise. The company supplies professional TVs, digital signage, interactive displays, videowalls and direct view LEDs to businesses around the world.
Bringing its displays together with software, services and complementary hardware across the continents, PPDS operates with a supply chain that includes distributors, system integration partners and end customers. All of them need access to its documentation, images, videos and more. That's a lot of brand assets to manage.
The challenge: multiple teams, multiple assets, multiple storage
"Where's that file?" "Do we have this asset?" "Who can give me access?" All familiar questions in a big organization with teams working across different regions - and all too familiar for Dafinka Mihaylova, PPDS's Global Digital Marketing Manager.
With colleagues using different storage platforms and multiple file storage accounts, nobody could find the assets they needed quickly.
It was incredibly difficult to find anything. Without a clear structure, we constantly had to rely on the file owner or the person responsible for uploading it.
New challenges were on the horizon too:
- A new website and CMS that needed to access DAM assets directly
- A new partner portal to support brand partners with the assets they need
- An ever-expanding catalogue of files, folders and assets
With licenses for the old storage platforms due to expire, the team began looking for a professional DAM solution. They didn't have to look far.
The solution: one simple DAM for internal and external teams
The PPDS marketing team had already heard from colleagues in the consumer TV department about a DAM that was saving people countless hours hunting for assets. A call led to a meeting, which led to Data Dwell mapping out a platform tailored to PPDS's needs: the MediaHub.
Data Dwell met all our requirements from the very start. Seeing how effectively our colleagues in other departments were using it quickly convinced us - it was the perfect fit for our needs.
MediaHub is PPDS's DAM platform. It:
- Integrates with the website CMS to pull every asset into the site in real time
- Securely stores, organizes and distributes all PPDS and Philips assets
- Streamlines search with meta fields and tags on every asset
- Gives partners access to essential product assets in a dedicated portal
- Allows external sharing of single files, folders and collections
- Deploys full version control and approval with a clear permissions structure
- Provides single sign-on
During onboarding, Data Dwell helped PPDS create the structure, processes and user groups that form the bedrock of the DAM, and migrated every asset into MediaHub.
The entire setup was easy - straightforward and seamless. Together, we developed a strategy for the assets we use, how we use them, and how we should be utilizing them in the future.
Whenever PPDS needs something new, Data Dwell delivers it. Requests so far have included single sign-on, hidden internal folders, a customizable folder thumbnail view and a notification center that tells users about new assets.
We get immediate support whenever we need it, even now, four years on. Any fixes are always implemented promptly, well within 24 hours.
The results: easy storage, organization, retrieval and distribution
Never in a case study interview has the word "easy" come up so often. Twelve times.
Data Dwell has just made everything easier from day one - streamlining our processes and improving workflow efficiencies.
Improved brand consistency has been one of the main benefits. The partner portal has been a big success too, with each partner and each region able to see exactly the assets they need. Across the organization, PPDS has seen:
- 2+ hours a week saved on searching, uploading and sharing files
- Faster asset retrieval and higher productivity
- Stronger, more effective version control
- Full clarity on user groups, access control and permissions
- No more time-consuming file sharing, local storage or broken links
"Simply search for the asset in the website's CMS, and it's instantly available to be added to the website," says Dafinka. "And assets can be retrieved anywhere - a big advantage for remote access."
We only ever receive positive feedback from the rest of the teams. Everyone is satisfied.
Dafinka has already been recommending Data Dwell to other departments. Her verdict: "It meets every DAM requirement, and it truly is as simple as that."
